McTavish Reception Room Rental

McTavish Room access is at 324 12th Street in the Liberty Theater Complex. Entry is through the Astor Building 12th Street entrance (door north of Jonathon's), use the elevator or stairwell only.

• Rental Includes:
• • Use of the reception room.
• • Access to the Mezzanine level restrooms.
• • Use of available tables and chairs.
• • Access to caterer kitchen, available equipment and the Mezzanine and Lobby areas, depending on rental needs.

• Available:
• • Fifteen (15), 60" round tables (seating for 8).
• • Ninety Six (96) chairs.
• • Seven (7) large serving tables (30" X 72").
• • Three (3) smaller serving tables (30" X 40").
• • One (1) podium, with light and sound attached.

Occupancy numbers are flexible depending on room usage. 100-185 all seated at round tables, plus service tables, number depends on usage and on dance floor needs 185 + partial standing with some seating and service tables. For an additional charge(s) the Mezzanine area and the Theater Lobbies may be added to the rental (if available) which can add more seating, etc. We suggest a meeting with Liberty staff to discuss your specific needs and to tour the room. Occupancy is NOT permitted from the hours of midnight to 8 a.m.

Guidlines

Liberty Theater and the McTavish Room are separate rentals, fee adjustments can be made for combination rentals. Separate rental of the McTavish Room is limited to activities which allow the remainder of the Liberty Building to operate without interference.

Additional security is required when the Liberty Theater and McTavish Room are in use by separate groups simultaneously.

All areas of the building are NON-Smoking areas. Minor children are allowed to occupy the McTavish Room ONLY with attentive adult supervision.

Use involving the sale or distribution of alcohol is regulated by OLCC standards. The renter or caterer must obtain all the necessary permits and licenses.

Decor is limited to table, chair and counter top surfaces only. No nails, tape, push pins or staples may be used on walls, windows, floors or pillars. Use of candles in the McTavish Room is very limited and must be approved by Liberty staff prior to your event.

All furniture must be lifted, not dragged across the floor. No one is allowed on the balcony(s) outside the McTavish Room windows for any reason at any time. Renters are solely responsible and will be held accountable for the actions of their guests and vendors.

Timeline and Canellation Policy

Cancellations 60 days or more before the rental date are subject to a 20% administrative fee. Cancellations less than 60 days prior to rental date are wholly non-refundable. Renter cancellations must be in writing.
